In SmarterSelect, your evaluators' default view will be the "My Evaluations" table.
The default setting for all programs shows Action, (Provider, if the evaluator is an evaluator for more than one Provider) Program, Applicant, Deadline, and Status columns.
Action: Action is the means by which an evaluator will access an application. This action can be one of two things: Read, which means the evaluation period is open and evaluators can add their scores and comments, or View, which means the evaluation period has passed and the evaluators can only view the application but cannot enter any scores or comments. Another Action option that is always available to the evaluator is Print. This allow the evaluator to print a copy of the evaluation. This column should never be hidden.
Program: This column will show the name of the program which the evaluator will be reviewing. If the evaluator clicks on the program name, they will be able to see the program's description and requirements as entered on the Program Page. You may choose to group by this column if individual evaluators will be reviewing for more than one program.
Applicant: This column will list the first and last name of the applicant and will help evaluators keep track of which applications they are reviewing for most situations. If a program is marked to make evaluations anonymous, the applicants' names will be replaced with the AppID to maintain confidentiality. This column can be hidden by unchecking the box. For example, you may wish to show the name of the organization applying for a grant instead of the name of the applicant.
Deadline: This column will list the evaluators' deadline date for each application assigned to them. This deadline is set up on a per-program basis on the Program Page by the provider.
Completed/Status: This column will display the status of the individual evaluation.
Not Started: The evaluation has not yet been accessed by the evaluator.
Reading: The evaluation has been accessed by the evaluator and data may have been saved by the evaluator. The evaluation has not yet been submitted by the evaluator.
Evaluated: The evaluator has provided all required information/scores and submitted the evaluation successfully.
However, you can change the way your evaluators see their My Evaluations table. With the settings function in your program's Evaluations table, you can have your My Evaluations tables arranged in a way that is more helpful for your evaluators.
To change the My Evaluations table settings, go into your program and go to Evaluation.
Click on the My Evals Settings link in the left column.
On the right side of the screen you will see a Questions tree. This tree contains all of the sections in your application. When you click on the plus sign "+", you will see a list of all of the questions within that section. These questions can be dragged and dropped into the table to add columns to the My Evaluations table.
Note: Evaluator questions will have an "Ev-" before the question. Pulling over evaluator questions can help your evaluators quickly see what scores they've given to other applicants to assist with scoring subjectively.
In this example, it is helpful for my evaluators to see the applicant's GPA, so we have pulled over the GPA question.. We have also pulled over the evaluator class GPA Autoscore question as well.
Once you have your My Evaluation settings set up, click "Save". This will immediately update the My Evaluations tables for all of your evaluators in this program.
Note: A good rule of thumb is to allow yourself to be an evaluator, also. You can do this by checking the box in your row under "Evaluator" in the Users table. Then, you can assign a few applications to yourself in this program. Once you do that, you can quickly review the changes you've made to the My Evaluations settings by clicking on My Evaluations in the blue menu bar.
